Overview
The Association of Energy Engineers (AEE) National Capital Chapter is committed to protecting the privacy and security of our members' personal data. This policy explains how we collect, use, and safeguard information to provide professional development, networking, and certification support for energy engineers in the Washington, D.C. metropolitan area.
Collection, use and disclosure of personal information
We collect personal information necessary for membership management and chapter operations, including names, professional titles, employer information, email addresses, and payment details. Some information is available in our member directory for other members. You can change what information can be displayed to other members through your profile at any time.
Purpose: We use this data to process memberships; register attendees, and provide networking opportunities through the member directory.
Member Directory: A primary benefit of membership is access to the Chapter Member Directory. By default, your name and professional affiliation are visible to other logged-in members to facilitate networking. You may choose to share or hide additional details such as email addresses or phone numbers.
Disclosure: We do not sell personal data. We disclose information only to fulfill service requests (e.g., event registration) or when required by law.
Children’s Privacy: Our services target professionals in the energy and engineering sectors. We do not knowingly collect information from individuals under the age of 16.
Member Directory and Privacy Controls
The AEE National Capital Chapter utilizes an online directory to foster professional connections.
-
Visibility: The directory is "member-only." It is not accessible to the general public or indexed by search engines.
-
Opt-Out Rights: Under GDPR and chapter policy, you maintain absolute control over your directory listing. You may opt out of the directory entirely or limit visibility to specific data fields through your profile settings in Wild Apricot.
-
Data Minimization: We only display the information you have explicitly permitted in your privacy settings.
Giving consent for others
Members providing data for third parties (e.g., registering a guest for a chapter meeting or adding bundle members) must ensure they have obtained explicit consent from those individuals before submitting their personal information to our system.
Third-parties applications
Wild Apricot: We utilize
Wild Apricot as our primary member management and website platform. Your data is stored on their secure servers.
Wild Apricot provides the functional infrastructure for the Member Directory. Their system allows you to toggle visibility for every field in your profile. We do not store full credit card numbers on our local systems. These third parties are compliant with industry-standard security protocols and are prepared to respond to data requests.
